Executive Board Meeting

The Executive Board of the Kentucky Association of Mapping Professionals (KAMP), meeting via conference call, was called to order by President Michelle Ellington at 11:07 am.

KAMP ANNUAL MEETING
President Michelle Ellington reviewed plans for the KAMP Annual Meeting to be held on Monday, 7 July, at 6:00 pm, in conjunction with the Ky GIS conference, at the Marriott Griffin Gate Resort in Lexington. President Ellington offered to donate an iPod shuffle to be used as a prize in a drawing for those who become new members or renew their memberships during the Ky GIS conference. She also suggested giving away KAMP T-shirts to new members. Mark Wiljanen moved that the donation of the iPod shuffle be accepted to be used as proposed by President Ellington. Seconded by Stephen Berry, the motion passed.
President Ellington also requested authorization to make a variety of purchases, including tripods and display materials in support of a KAMP display booth at the Ky GIS conference. Mark Wiljanen moved that President Ellington be authorized to spend up to $200 for that purpose, seconded by Stephen Berry. The motion passed.
In other preparations for the KAMP Annual Meeting, Marc Pearson offered to work with the Nominating Committee to prepare a slate of nominees for the various positions on the Executive Board.
MEMBERSHIP TERMS
The Executive Board had previously noted that the KAMP By-Laws were not as clear as might be desired as to the dates covered by new and renewed memberships. In order to clarify the calendar coverage of memberships, President-Elect Stephen Berry moved that KAMP By-Law III be amended as follows (deletions are struckthrough and additions are underlined):
III Membership Terms
(Reference Article x II, Sections x 2, 9, and 11 of the KAMP Constitution)
(1) The membership year shall begin January 1 of each year and end December 31 of the same year.
(1) (2) New and expired membership dues paid at any time from the beginning of the current membership year until the annual meeting shall go into effect immediately and shall be valid through the end of the current membership year. New and expired membership dues paid at any time from the annual meeting and before December 31 through the end of the current membership year shall go into effect January 1 of the following year. immediately and shall be valid through the end of the next membership year. The member, whether new or renewed, shall be entitled to all appropriate privileges and publications of KAMP.
(2) (3) Members who do not renew their membership by December 31 for the upcoming membership year shall be removed from current membership status. The renewing member will be immediately reinstated for the current membership year once dues are paid prior to the annual meeting. Expired membership dues paid after the annual meeting shall be treated as new memberships.
(3) (4) Professional designation dues are payable at the same time as membership dues and are subject to the same terms as stated above.
Mark Wiljanen seconded the motion, and the motion passed. Marc Pearson, KAMP Treasurer, said that he would e-mail members, reminding them to renew their memberships at the annual meeting.
PROFESSIONAL RELATIONS
KAMP President Ellington reported that the Kentucky Association of Professional Surveyors (KAPS) had agreed to the establishment of formal liaisons between KAPS and KAMP. The KAMP representative to KAPS will be a non-voting member of the KAPS Executive Board. President Ellington urged the KAMP Executive Board to make whatever changes are needed to establish a similar position within KAMP for the KAPS representative to KAMP. While the KAMP Executive Board is wholeheartedly in favor of closer relations between in the two organizations, several members of the KAMP Executive Board were concerned about the pragmatic consequences following from the exact form of the relationship. All agreed to investigate further and to determine the exact details of the proposed relationship.
President-Elect Stephen Berry suggested that he should make arrangements to meet with the interim Director of the Division of Geographic Information during the Ky GIS conference to discuss the inclusion of KAMP in the re-establishment of the statutorily authorized Geographic Information Advisory Council. President-Elect Berry said that he was also willing to meet with the interim Director in Frankfort if necessary. All agreed that such a meeting would be highly desirable.
The meeting of the Executive Board of the Kentucky Association of Mapping Professionals was adjourned at 12:09 pm.
