Executive Board Meeting
5 February 2008

The Executive Board of the Kentucky Association of Mapping Professionals (KAMP), meeting via conference call, was called to order by President Michelle Ellington at 2:42 pm. Marc Pearson moved that the minutes of the 9 November Executive Board meeting, and the minutes of the Executive Board e-mail meetings beginning on 10 November and 2 December, be approved. The motion, seconded by Stephen Berry, passed.

UPCOMING EVENTS

President Ellington reported that preparations had been completed for the informational event featuring Autodesk. The seminar will be held on 20 February 2008, starting at 10:00 am, in Main Building, room 209, on the University of Kentucky campus.

Looking ahead to our next Association meeting, coordinators Michelle Ellington and Marc Pearson announced that the meeting is scheduled for 28 February 2008, starting at 10:00 am, at the Lyndon Fire House, Station #1, in Louisville. The meeting’s theme is ?Planes, Trains, and Automobiles, and the Geospatial Perspective?, with presentations by Lyndon Fire and Rescue, R.J. Corman Railroad Group, and (possibly) UPS. The meeting will be sponsored by Pictometry.

KAMP WEB SITE AND MEMBERSHIP ISSUES

Mike Greene urged everyone to take a look at the latest developments that Paul Vidal has implemented on the KAMP web site. These include an on-line membership list and on-line registration for KAMP meetings and other events. Marc Pearson, KAMP Treasurer, noted that the membership data base tied to the web site may provide much needed tools for managing memberships, especially membership renewals and corporate memberships.

Concerning membership renewals, it was observed that the membership renewal records are incomplete and the current membership renewal process is unreliable and is not serving the needs of the Association. It is hoped that the new functionality on the KAMP web site can be used to solidify our membership records, but there was also considerable discussion of real time membership renewal not tied to any particular term or expiration date. (Under KAMP By-Law III, all memberships are from 1 January to 31 December.) It was envisioned that all members would be able to check their membership status on the web site and renew when appropriate. The possibility of pro rata limited-term (or extended-term) memberships was also discussed. Whatever new membership options are developed for future implementation, all members should expect to receive renewal notices for the current year and are urged to renew their memberships in KAMP under the annual membership provisions currently in place.

Apropos of corporate memberships, President Ellington mentioned that she had been in touch with Autodesk and Pictometry regarding their possible corporate membership in KAMP.

On another point related to the web site, Stephen Berry suggested that each page of our web site should have a ?contact KAMP? link. It was agreed that this would be a desirable addition to the web site and that the e-mail generated from the link should be directed to the President.

GREEN MAPS

President Ellington raised the possibility of KAMP collaboration with the Sustainable Communities Network to support the group’s goals of promoting environmental stewardship and a sustainable quality of life. This may be an appropriate outreach and co-education opportunity for KAMP, and the development of “green maps” may also offer a chance to earn professional certification credits.

ASSOCIATION BUSINESS

Stephen Berry noted that KAMP should file an annual non-profit corporation registration with the Kentucky Secretary of State and the IRS. Marc Pearson, KAMP Treasurer, offered to follow up on this.

The meeting of the Executive Board of the Kentucky Association of Mapping Professionals was adjourned at 3:44 pm.
